MIE Student Club Funding Request
The Department of Mechanical & Industrial Engineering is in support of co- and extra-curricular activities to provide leadership, professional, and community development opportunities for our student body. At the discretion of the Chair, funding is available primarily through the generosity of our alumni and friends.
Eligibility & Criteria
Funding is available at the discretion of the Chair to current MIE undergraduate students. Decisions are made based on the following criteria. Your student club/activity must adhere to one or more of the terms below:
- Demonstrate the advancement of, and/or advocate the disciplines of Mechanical or Industrial engineering;
- Contribute to the student experience in the Department;
- Contribute to the professional development of students in the Department;
- Funding priority will be given to student clubs/activities with large membership from Mechanical and Industrial Engineering (MIE).
- Faculty-wide student club/activity applications, (e.g. FSAE, Blue Sky Solar Racing Team) must provide valid documentation showing participation of MIE students, particularly at the executive level.
Application Procedure
Funding is awarded twice per academic year; hence your funding proposals should reflect planned initiatives for the entire year. APPLICATIONS OUTSIDE OF THE DEADLINES BELOW WILL NOT BE ACCEPTED. You may only apply to one round per year. Clubs who have already received funding for the 2012-2013 academic year are not eligible for the January 2013 round.
2012-2013 Academic Year (exact dates to be announced in summer 2012)
- Round 1 DEADLINE: Mid-September 2012
- Round 2 DEADLINE: Mid-January 2013
Funding decisions will be made by a committee which comprises of three (3) or more of the following members:
- Chair
- Associate Chair, Undergraduate Studies
- Director of Finance
- External Relations & Student Life Officer
- Mechanical Engineering Club Chair
- Industrial Engineering Club Chair
Decisions will be made within two (2) weeks of each funding deadline.
Application Instructions
Please include the following in your application:
Part 1: Organization Information
- Organization and/or project name.
- General Description of organization/project.
- How long has your organization/project been active.
- Sponsorship amount sought.
- Describe how your organization or event contributes to the development and experience of students in MIE.
Part 2: Required Documents
- Financial statement(s) showing past revenues and expenses and projected expenses. Include all other sources of income where applicable.
- Brief mission statement that demonstrates the satisfaction of the funding criteria stated above.
- Contact information and list of all club executives. Provide full membership lists if possible.
- Faculty-wide clubs must show proof of MIE student participation (e.g. membership list).
Part 3: Submission Instructions
All funding request proposals should be submitted in

*Please submit ONE SINGLE PDF softcopy (including budgets) via e-mail; **hardcopy proposals in person (MC110) or to Deborah's mailbox in MC134.
All funding requests must be made using this process. Requests for funding from the Department of Mechanical & Industrial Engineering outside of this process will NOT be considered.
Transfer of funds
If you are a club with an internal FIS account, please provide CC and CFC numbers and the name of the university administrator responsible for the management of that account.
If the club administers the account, an invoice must be attached to the budget and application.
Failure to provide the information above will result in the delay of funds transfer should your request be considered successful.
PLEASE NOTE: Cheques can only be made out to the name of the student group not an individual.
Terms & Conditions
If your funding proposal is successful, the following are the terms of recognition:
- Mechanical & Industrial Engineering logo to be printed on all marketing/publicity materials, including website, in accordance with the University of Toronto branding guidelines (External Relations Officer will provide guidelines if funding proposal is successful).
- Regular updates to the Department, c/o External Relations Officer, regarding club/activity initiatives.
- Consultation with the Department for all publicity materials where MIE may be represented outside of the sponsorship section.
- Invitation to special events where appropriate.
